
Shopify is a leading e-commerce platform that helps businesses manage online stores, process payments, and track sales. You can securely share account access with your accountant or bookkeeper so they can review reports, manage financial data, and reconcile transactions on your behalf.
Step 1: Sign In to Your Shopify Admin
What to Do:
Go to Shopify Login and sign in using your store owner (admin) credentials.
Dashboard Look:
You’ll land on your Shopify Admin homepage, showing sections like Orders, Products, Customers, Analytics, and Settings.
Step 2: Go to “Settings”
What to Do:
From the left-hand sidebar, scroll to the bottom and click Settings.
Dashboard Look:
A new menu will appear with options such as Users and Permissions, Billing, Plan, and Apps.
Step 3: Open the “Users and Permissions” Section
What to Do:
Select Users and Permissions from the Settings menu. This is where you can manage access for staff, collaborators, and partners.
Dashboard Look:
You’ll see a list of existing staff members and collaborators who already have access to your Shopify store.
Step 4: Add Your Accountant as a Staff or Collaborator
What to Do:
Click Add staff (for internal access) or Add collaborator (if your accountant manages multiple clients through their Shopify Partner account).
Enter your accountant’s name and email address.
Dashboard Look:
A pop-up form appears where you can enter user details and select access permissions.
Step 5: Assign Access Permissions
What to Do:
Choose the level of access your accountant needs. Common permissions include:
- Orders & Reports: Allows viewing and exporting financial reports and orders.
- Settings & Billing: Allows managing billing, taxes, and payments.
- Apps: Grants access to financial or accounting apps like QuickBooks or Xero.
Dashboard Look:
Each permission category appears with a toggle switch — turn on the ones your accountant needs.
Step 6: Send the Invitation
What to Do:
After selecting the necessary permissions, click Send Invite.
Dashboard Look:
You’ll see a confirmation message showing that the invitation email has been sent successfully.
Step 7: Accountant Accepts the Invitation
What to Do:
Your accountant will receive an email invitation from Shopify.
They must click Accept Invitation and either log in with their Shopify Partner account or create a new one.
Dashboard Look:
Once they accept, their name will appear under Users and Permissions → Staff/Collaborators.
How Many Users Can Shopify Have?
Shopify allows multiple staff members and collaborators, depending on your plan:
- Basic Plan: Up to 2 staff accounts.
- Shopify Plan: Up to 5 staff accounts.
- Advanced Plan: Up to 15 staff accounts.
Collaborators added via the Shopify Partner system do not count toward your staff limit.
